TeamLink Portal authentication method 2 overview

TeamLink Portal authentication method 2 provides external team members the ability to view all their assigned project information. This authentication method is based on a username and password system which does not change from project to project.

To determine which information must appear in the TeamLink Portal, Sage Construction Management uses TeamLink security roles. The default TeamLink security roles are Owner, Vendor, and Architect, and they can be set for each company in the project directory. They provide more granular control as a company could be assigned different security roles depending on the project. Although the default security roles cannot be modified, custom roles can be created in Settings > TeamLink Portal.

About the authentication method 2

  • TeamLink security roles only apply to projects, not leads.
  • TeamLink security roles are set in the project directory.
  • When sending the log in information to external team members through email, Sage Construction Management automatically sets the contact's email address as the username and generates a password. These credentials can then be changed manually in the contact profile form.
  • The url or hyperlink to access the TeamLink Portal is different from the authentication method 1.
  • Vendors that log in to the portal using authentication method 2 can see the active leads under the Bid Opportunities section. The Show In Portal option in the Lead Home page must be selected and the vendor must be referenced on the following type of records:
    • Invitation to bid (ITB) directory.
    • Estimate RFP package bidder.
    • Correspondence record, such as journals.

Log in information for external team members

  • Hyperlink to the TeamLink Portal with the org ID encrypted in the url.
  • Username, which defaults to the user's email address.
  • Password.
Log in information is sent using the Project Directory > Actions > Send TeamLink Login option.

Advantages and disadvantages of authentication method 2

Advantages:

  • Hyperlink to the TeamLink Portal can be added to the contractor's website.
  • All project information associated with the external team member can be available in the portal, depending on the assigned TeamLink security role.

Disadvantages:

  • A few more steps required to implement versus authentication method 1.

Before you begin

Implementation

  1. Assign a TeamLink security role to the contacts in the project directory.
  2. Send an email with the TeamLink log in information.
  3. Optionally, add the TeamLink Portal url to the corporate website.
